Overview

You can create various Accounts Payable reports when you need them (ad hoc) or schedule them to be emailed to your inbox. For details of the differences between these two report methods and for instructions in their use, please refer to User Reports

The reporting sections of pERP are under continuous development and some screens may not be quite as illustrated.
Any such differences are NOT bugs and do not need to be reported.
If you notice any serious discrepancies between what you see on your screen and what you find in this Wiki,
you may submit a feature request to update the wiki.
Be sure your request gives the specific page (from the URL line at the top of your browser window)
and the part that needs to be updated.

1. Summary Aged Accounts Payable Report

The Aged Accounts Payable Summary shows who we owe money to and for how long we've owed it, so we can pay off the most overdue accounts. You can do this for a single supplier (enter the same supplier code for Start and End) or for a batch of suppliers and for any specified date. You can also set minimum or maximum balances. The more suppliers or the greater time interval you include, the longer the report will take.

The parameters as discussed below are the same whether the report is created ad hoc or scheduled.

  • As At - The default date for the report is always "today" but you can set it to any other desired date.
  • Currency - Set as desired or leave blank for all. In the example, there is only one currency to use.
  • Supplier Start or End - These are select boxes. Type a part of the supplier code or name then select from the list.
    • If both fields are left blank, the report will be for all suppliers.
    • If only the Start field is filled, the report will be from that supplier to the end (alphanumerically by Supplier Code).
    • If only the End field is completed, the report will be from the first supplier up to and including the supplier specified.
  • Balance Start/End - Enter the amounts for a starting or ending balance, for example "All suppliers we owe more than $1000" or "All suppliers we owe less than $20,000. As above, you can use either field, both, or neither. If both balance fields are left blank, all amounts will be included.

2. Supplier Transactions Report

Image:Img AP Supplier Transactions.png

This report would normally be done for only a single vendor.

  • Start Date - Set the date for which you want to start examining transactions
  • End Date - Defaults to today, but you can set it for any end date (must be after the start date, obviously)
  • Currency - Set as desired or leave blank for all. In the example, there is only one currency to use.
  • Supplier Start or End - These are select boxes. Type a part of the supplier code or name then select from the list.
  • Balance Start/End - Enter the amounts for a starting or ending balance. As above, you can use either field, both, or neither. If both fields are left blank, all amounts will be included.
  • Only non-zero accounts - If this box is checked, only accounts with a balance outstanding will be listed.
  • Only unpaid invoices - If this box is checked, paid invoice transactions will not be included in the report.

3. Detailed Aged Accounts Payable Report

I'm not sure how this report differs from the first one.

  • Supplier Start or End - These are select boxes. Type a part of the supplier code or name then select from the list.

4. Received Goods Report / Daily Receiving Report

This defaults to a Receiving Report for today. To get a report of a week's or month's worth of receiving activity, just change the start and end dates.

5. Purchase Order Report (Print PO)

Although a screen print from the PO page is not bad, this report (or its scheduled equivalent) is presently the only way to print a good-looking PO [Users would probably like a button at the bottom of the PO that just prints the PO].
